What we covered

1. Prospecting & research (Trusts, Foundations and corporate prospects)
  • Adding the Prospect Research panel to the right constituent profiles (e.g. Trust/Foundation and corporate prospects) so research data is captured in a consistent place. 
  • Using the Capacity / Propensity / Connection scoring framework (1–5) to prioritise which funders to focus on next, with internal definitions so everyone scores consistently. 
  • Recording key prospect details: deadline months, months between applications, research manager/relationship owner, typical gift size and suggested ask. 
  • Using Funding Preferences and Funding Locations (configured to match your charity) to make your prospect list filterable and actionable at scale. 

2. Turning research into a structured pipeline (Prospects & Opportunities)

  • How prospect research becomes powerful once populated across multiple organisations — enabling filtering and prioritisation of your pipeline.
  • Using Opportunities for any multi‑stage ask (grants, corporate sponsorship, major donors, etc).
  • Setting up Opportunity Types and Stages carefully (so they reflect how you actually work, and don’t need constant change).
  • Understanding key Opportunity fields: stage, forecast %, expected close date, deadline date, outcome, team members and notes/attachments. 
3. Automating follow‑ups using Opportunity tasks
  • Using stage settings to create automatic tasks (e.g. “follow up with funder 30 days after Applied”) to reduce reliance on memory and improve consistency.

  • Visibility benefits: tasks sit on the Opportunity so cover is easier when colleagues are off. 

4. Managing the pipeline: list view, board view and charts

  • Navigating Opportunities using:
    • List view for filtering and reporting
    • Board (Kanban) view for moving opportunities through stages and spotting those stuck too long
    • Charts view for pipeline value and forecast reporting 

5. Corporate partnerships: tracking relationships, tiers and stewardship

  • Using Activity Types and Custom Fields to model corporate partnership information on timelines (start/end date, pledged value, tier, next impact report due, etc.).
  • Using Activities so you can report and dashboard on partnership tiers, pledged value, and activity history.
  • Capturing impact reporting by logging activities and uploading the report document to the timeline for an audit trail.
  • Recording gifts in kind as an activity (with a value field) when it shouldn’t appear as cash income. 

6. Managing grant awards: pledges and scheduled income

  • Creating Pledges to record promised grant income (including multiple instalments) so you can plan and forecast.
  • Marking pledges as paid to create the transaction cleanly (reducing double entry and keeping records consistent). 

7. Reporting & dashboards for Grants & Corporate

  • Using Opportunities and Pledges pipelines, plus Lists, to build reporting views such as:
    • Open opportunities by stage/campaign/owner
    • Unsuccessful applications (and capturing “why” in notes)
    • Open pledges by fund/campaign
    • Pipeline forecast by month and opportunity type 
  • Building dashboards from list visualisations, and refreshing tiles when you need an updated view.

Frequently Asked Questions

  • Why do we need to keep offline notes for what Capacity / Propensity / Connection scores mean?

    Because each organisation defines these scores differently. Donorfy does not currently offer a built‑in place to store your scoring framework.
    The Product Team has been given feedback that users would like a configurable area to store this. 

  • I currently have Trusts set up as Organisations. How do I convert them to a Trust constituent type?

    Create a new Trusts constituent type in Settings → Configuration → Constituent Types (ensure it is a Group).
    Then bulk‑convert your existing Organisation records using the File Uploader, updating the Constituent Type field.
    Delete unused columns in your upload file to avoid wiping data. Test with a small batch first.

  • I cannot see Opportunity “Settings”. What do I do?

    The Settings tab under Opportunities is only visible to Admin users.
    Ask your Donorfy admin to give you Admin permissions. Once upgraded, you’ll see Opportunities → Settings → Opportunity Types. 

  • If I apply for £5,000 but only receive £2,000, where do I record the amount awarded?

    Record the awarded amount via a Pledge.
    Pledges allow you to store the actual committed value, including instalments if relevant. 

  • Will Donorfy introduce AI to populate research data automatically (e.g., from Charity Commission)?

    AI features are coming, but initial versions will not auto‑populate prospect research data.
    The suggestion has been noted for future development. 

  • Can I bulk‑close or archive Opportunities that have gone cold?

    Not currently.
    Opportunities must be closed individually by updating their stage and outcome. Bulk archive/close is not yet supported. 

  • Can I report on Campaign Items (e.g., how much was raised for specific items within a campaign)?

    Not at the moment.
    Campaign Items are not available as list/report fields. This has been fed back to the Product Team. 

  • Can I report on Opportunities within a specific date range?

    This was answered live, but if you still need help, contact Support for guidance on Opportunity reporting. 

  • My Opportunity Board view is greyed out and cannot be selected. Why?

    The board view only displays when you are showing a single Opportunity Type, as it needs to display the stages, and every Type can have different stages. Check the filtering on the left hand side.

  • Can I pull reports directly from the chart/board view?

    Answered live in the session — charts and boards provide visual summaries, but data extraction is done via Lists

  • How do we manage communications when the primary contact for a Trust changes during an Opportunity?

    Use Connections to link individuals to the Trust.
    Then use Send to Donorfy, open the resulting activity on the individual’s profile, and use Connected Activity to link it back to the Trust.
    This gives you a Trust‑wide communication history without duplicating email addresses. 

  • We use a “Grant Admin Activity” to track income by financial year. Is this best practice?

    You can do this, but Donorfy recommends Pledges instead.
    You can create multiple pledges per Opportunity (e.g., instalments across years), and convert them to transactions when income arrives.
     

  • Do we have to rebuild our Opportunity board each year when applying to the same funders?

    Yes, each new ask should be a new Opportunity, even if it is the same Trust or corporate partner.
    Donorfy does not automatically “qualify in” opportunities for new funding cycles.
    This prevents duplication of income totals.

  • How should I record a repeat grant from the same Trust for a different purpose?

    Create a new Opportunity for each fresh ask.
    One Opportunity = one application or request, regardless of funder.

  • Some Trusts features shown today aren’t set up in our account. How do we enable them?

    You can configure them yourself using the supporting documentation that will be sent out.

  • What happens to Opportunities at year‑end? Do they archive automatically?

    Nothing happens automatically.
    Opportunities remain open until you manually update their stage/outcome. Many grant applications run across multiple financial years.
