Manchester Action on Street Health (MASH) is a remarkable charity based in Greater Manchester, dedicated to supporting anyone who identifies as a woman involved in sex work. These women often face significant challenges, including homelessness and abuse. 

MASH provides both a safe, non-judgemental space and essential services. This includes offering harm reduction supplies, health checks, clothing, emotional support and outreach programmes to ensure their wellbeing - and keep women as safe as possible.

Volunteers: The Heart of MASH

The charity started completely volunteer-led in the 90’s and, though it’s grown over the years, their work is still supported by vital volunteers. Their 50-strong volunteer team are the lifeblood of their operations, with many committing to regular shifts, ranging from weekly to monthly. Solomon Hayes, MASH’s Volunteer Coordinator, explains:

Our Drop-in Centre and outreach vans are reliant on our fantastic volunteers. They engage with the women and assess their needs, while offering a friendly face, a cup of tea and a crucial listening ear.”

In 2018, the team were recognised with the Queen’s Award for Voluntary Services, the equivalent of an MBE for charities. They also won best ‘Volunteering Team’ in the Spirit of Manchester 2023 Awards, and have been shortlisted for three more this year.

This recognition is a testament to the incredible work done by the volunteers, and the effectiveness of MASH's volunteer programme.

THE SOLUTION

Volunteer Management: Donorfy's Role

Application and Onboarding

Since adopting Donorfy in 2021, MASH has transformed its volunteer management processes, starting with their application form. Solomon shares:

The application form on our website is a detailed Donorfy form that feeds directly into our CRM, creating new constituent profiles automatically. This has made the process smoother for applicants and saves me time, too."

Once he receives a notification for a new application, Solomon arranges interviews accordingly, using the "Send to Donorfy" email feature to automatically log any correspondence straight to the volunteers’ timeline. Interview notes, references and DBS information is also recorded for each applicant, laying the foundations for a comprehensive volunteer history from the start.

 

Volunteer Management

Donorfy’s tagging system is essential for categorising and managing their volunteers.

They use detailed tags to get a clear picture of each individual, including their volunteer category, which shows the type of volunteer they are, and volunteering days to show individual availability. Specific skills and training completed are also highlighted with tags, along with completion of their volunteer agreement. Finally, tags are used to categorise DBS check status and how they heard about volunteering opportunities at MASH.

We use tags to specify volunteer roles, availability, skills and much more. This detailed tagging system is clear and easy to follow, and gives us quick access to relevant information.” Solomon says.

This detailed segmentation ensures they’re contacting the right people, for the right shifts, at the right time. Another benefit is being able to see volunteers who are also donors. 

When I go on volunteers' profiles, I can see who is also donating, and vice versa for our fundraising team," explains Solomon. “This information is valuable for recognising the contributions of volunteers who support MASH financially. It also helps identify and nurture potential volunteers from the donor pool, as some donors eventually choose to contribute their time as well.”

Integrating Donorfy with MailChimp has simplified volunteer communication, too. Solomon notes, "I have a dedicated volunteer audience on MailChimp, integrated with our active volunteers list on Donorfy. I find it so helpful for sending communications, I used to have to add everyone manually. It’s one of the things I like about Donorfy the most."

Finally, Donorfy Lists play an important part in managing volunteers efficiently. Lists is a powerful query and reporting tool, and Solomon uses it for wide-ranging insights, including:

  • New Volunteers: To quickly see recently onboarded volunteers who need closer supervision and support.
  • Status: To show active volunteers currently engaged in activities and paused volunteers to highlight those who are taking a break. Their former applicants list keeps a history of unsuccessful applicants, too.
  • Former Volunteers: This list records volunteers who’ve completed their service, for historical reference and potential re-engagement.
  • Training: To track specific training sessions and who has completed them.
  • Former Volunteer Applicants: This keeps a history of unsuccessful applicants.
  • Supervision Needs: Identifies volunteers needing a supervision session.

Solomon explains:

We use lists to organise people and visualise data. When I go on the list, I can see columns that allow me to filter by when they were added, who’s our oldest volunteer, who’s new, and so on. It helps me get a really clear picture.”

MASH’s use of Donorfy highlights how the right CRM tool can significantly enhance volunteer management and improve the overall volunteer experience. Their thought-out process has even expedited the onboarding of new volunteers, with most beginning their roles within two months - a marked improvement from the previous time frame. With automated processes in place, Solomon now has more time to focus on giving the volunteers the support they deserve, too.
